Pay a year ahead or use flex seats by the day
Pay twelve months of package fees up front at a lower price per seat, or bill people who work only on peak days by the day.
Steps
Know what they are
An account billed by package can pay for seats in two more ways. Pay a year ahead: Pay twelve months of package fees up front from the balance, at a lower price per seat. Flex seats by the day: For peak days: a person on a flex seat pays the day price on the days they work, instead of the price by the month. Both are paid from your wallet balance.
Check that your account can use them
Both apply only to an account billed by package, per person per month. Your provider decides whether each option is offered and sets the discount and day prices. On an account billed another way the page says: This account is not billed by package, so there is nothing to pay a year ahead. When your provider does not offer an option, you see Paying a year ahead is not available on this account. or Flex seats are not available on this account.
Switch them on or off for the account
Open Feature access, tab Teams and account. In Features by team, find Annual prepayment and Flex seats by the day and set the Account column to On or Off. They apply to the whole account: the team columns show Account only. Not in your plan means your provider does not offer the option.
See what a year ahead costs
Open Packages. The Pay a year ahead card shows the year on offer (twelve calendar months from the first of next month), your saving, and the table What a year ahead costs now: each Package or add-on, its Seats, the price By the month, the price A year ahead and the amount Due now. Only people billed by the month are counted, not those on flex seats.
Pay for the year
Tick Renew for another year when the term ends if you want the year renewed, then choose the pay button under the table. The console shows the amount and the dates of the year and the warning: It is paid now from the balance. Nothing is refunded when seats are removed before the year ends. Confirm to pay. If the balance is short you see: The balance does not cover this change. Top up on the Wallet page first.
During the year
The card shows the year paid and the table Seats paid for the year with Seats paid and In use now for each package or add-on. Nothing is charged by the month for those seats. Seats added during the year are charged from the balance for the rest of the year. Nothing is refunded when seats are removed: a seat paid for stays paid and covers the next person until the year ends.
Renew the year
Tick or untick Renew for another year when this one ends at any time. With it ticked, in the month the year ends the next year is bought for the seats in use then, at that day's discount. You can also buy the next year yourself in the last 60 days of the running one.
Put people on flex seats
On Packages, the Flex seats by the day card shows the Day prices of each Package: A month and A day. Under People with an agent seat, set each person's Billed column to By the month or by the day. Days used this month and Charged this month show what each person has cost so far.
Know how a flex day is charged
A flex seat is charged the day price from the balance the first time it is used each day (UTC): its first action, such as going ready, sending a reply or opening the phone. In a calendar month it never costs more than the price by the month. Until it is used that day it is offered no calls or conversations. Nothing is refunded when a person moves to a flex seat during a month that is paid.
Read the charges
On Wallet, This month's charges lists Paid a year ahead (in seats) and Flex seat days (in days) as their own parts, apart from the monthly packages. Both appear on your invoices as separate lines. See Reports, usage and spend.
Good to know
- Only an administrator of the account can buy a year, change renewal or move people to and from flex seats.
- A team or a person cannot have these options switched separately: they are set for the whole account.
- Moving a person to a flex seat costs nothing at the time and refunds nothing. Moving them back to the month charges the rest of the month, shown first and paid once you confirm.
- A flex seat is prepaid. If the balance cannot pay the day, the person's first action that day is refused and nothing is saved; top up the wallet and try again.
- An add-on on a flex seat costs its price a month divided by 20 a day, capped at its price a month.
- If a renewal cannot be paid, or your provider stops offering the year ahead, renewal is switched off and the account pays by the month from then on.
- The discount for a year ahead is 15 % unless your provider sets another. A day price is the package's price a month divided by 20 unless your provider sets another. The prices on the page are your own.
- An account that has not yet moved to a paid plan, one on a plan subscription or billed as before packages cannot use either option.
