Invoices, receipts and VAT

Find your invoices and receipts, check the billing details VAT depends on, and for sellers, generate the monthly invoices.

Last checked For: Administrators; sellers for the last steps

Steps

  1. Find your documents

Open Invoices. The monthly invoice is the statement of what your prepaid balance paid for. Each top-up gets a receipt under Payment receipts. A receipt is not a VAT invoice: VAT is invoiced in the monthly statement when the balance is used.

  2. Check your billing details

Open Billing. Billing details shows your legal name, country and VAT number. With no VAT number you are charged as a consumer.

  3. Read the VAT check

A VAT number is checked against its country's format and against VIES. It is marked valid, not valid or could not be checked, with the date. VAT is charged until the number has been checked as valid.

  4. Read the treatment on the invoice

Each invoice shows how VAT was treated: Domestic VAT, Reverse charge, One-Stop Shop or Outside EU VAT. A business with a valid EU VAT number outside the seller's country is invoiced under the reverse charge; every other client is charged VAT.

  5. Sellers: enter the seller details

The company that issues the invoices enters Seller details: legal name, address, country, VAT number, company number, billing e-mail, invoice prefix, numbering and payment terms. Choose Save seller details. The prefix and numbering are fixed once the first document is issued.

  6. Sellers: generate the month

Under Generate monthly invoices, choose the Month and choose Generate. It issues the invoice for every client and a receipt for each top-up in the month. Running it again for the same month changes nothing.

Good to know

  • Billing details are held by your provider. If something is wrong, ask them to correct it.
  • Yearly numbering restarts at 1 each January, for example INV-2027-0001. Continuous numbering runs on without a break.
