Call new leads fast with speed to lead
Send new leads from your website, CRM or ad forms straight to the top of a campaign, set a target time and see who waits too long.
Steps
Add a lead source
Choose Lead sources in the menu. Under Add a source, enter a Name, choose the Campaign whose dialler works the leads and set the Target (seconds): how soon a new lead gets its first call or message. Leave Signed webhook on for an ad platform, a CRM or your own server; turn it off for a public web form on your site. Choose Add the source. A signed source shows its webhook URL and secret once: copy them into the system that sends your leads.
Manage your sources
Under Sources, each source shows its Source id (for the API), what it Takes leads from and its Status. Rename it or change its target and choose Save. Disable stops it taking leads and keeps its history; Enable turns it back on. New secret replaces a signed source's secret at once; Add a webhook secret turns an unsigned source into a signed one.
Know what it does
A new lead from your systems goes to the top of its campaign at once, so a free agent calls it within seconds in a progressive campaign, or an agent opens it next in a preview campaign. The Speed to lead page measures the time from arrival to the first call attempt and the first connected call, by source and by agent, against a target. Imported lists are measured too. It is a paid feature, switched on per account, team or person on Feature access.
Prepare a campaign for the leads
Create the campaign that will call the leads, with a verified caller ID, as in Run outbound campaigns with the dialler, and start it. Leads still pass every dialler check: do-not-call lists, marketing consent, the customer's calling hours and how often the number was called. For a public form on your website, use a Preview campaign, so nobody is called until an agent opens the lead and chooses to dial.
Know where leads come from
Each lead arrives through a lead source tied to one campaign, with its own target in seconds. The page shows the source as API, Webhook, Web form or Import. A signed source has a secret and takes leads from the API or a signed webhook; an unsigned source takes leads from a public web form.
Send leads from your systems
From your CRM or back office, post each lead to the public API with an API token that has the
leads:writescope (/developers/reference/leads/). Give the source id and the phone number; name, e-mail, consent, your own reference and other fields are optional. Or post to the signed webhook of the source, signed with its secret in the same way as the platform's own webhooks (/developers/webhooks/). Create API tokens on API and webhooks.Take leads from ad forms
On Growth tools, under Lead-ad forms, open New lead-ad form. Choose the Lead source (a signed source), add a Form reference (optional), map the form's fields and consent boxes, and choose Create form. The form's webhook address is shown in the list: set it in your ad platform.
Set the target
On Speed to lead, under Target and new leads first, enter Target to first attempt (seconds) and choose Save. It applies to leads without a lead source of their own, such as imported lists; a lead source's own target applies to its leads. The default is five minutes.
Put new leads first
In the same section, tick New leads first for a campaign. A lead that has never been tried then goes to the front of the campaign's queue, after due callbacks, while it is younger than 60 minutes.
Watch leads waiting
Leads waiting lists leads from the last three days with no call attempt yet, oldest first, with how long each is Waiting for, its Target and its Status: In the dialler queue, The campaign is not dialling, or held by the dialler with the reason. Leads past the target are counted as Over target. The list refreshes by itself.
Review speed by source and by agent
Choose a period. Speed by source shows Leads, Median to first attempt, Median to first connect, the share Within target and Connected, in total and By source. By agent shows each agent's First attempts and Connects. A refusal by the dialler, such as outside calling hours, is not an attempt.
Good to know
- A form on your own website posts its leads through a web chat site whose allowed origins include your website, naming the site and an unsigned lead source. See Set up e-mail and web chat for the site.
- A signed source refuses posts from a public web form, and an unsigned source refuses the signed webhook.
- A public web form accepts at most 5 leads an hour from one address and 120 an hour per site. The same number again within 24 hours is treated as the same lead: it is not put back at the top and its attempts are not reset.
- The same number posted again from the API or a webhook puts the existing lead back at the top of its campaign instead of creating a second lead. A repeated reference from your system is answered as a duplicate.
- A lead without a valid phone number is refused. Numbers without a + prefix need a country code with the lead.
- Leads sent to a finished campaign are refused.
- Lead-ad forms need a signed lead source, and the Growth tools page needs an administrator's role.
- With the feature switched off on Feature access, the Speed to lead page is not shown.
