Flows and AI

Keep knowledge articles current with owners and review dates

Give each knowledge article an owner, a review date and an expiry, so the AI agent and the help centre stop using stale text.

Steps

  1. See what is due

Choose Knowledge in the menu. What is due lists every article that is expired, has a review due within 14 days, or has no owner, worst first, with a count for each reason. Nothing is due means the list is clear.

  2. Read the reasons

Expired and Review overdue are the most urgent. Expiring soon and Review due fall within the next 14 days. No owner is a published article nobody looks after.

  3. Open an article

Choose its title in the list. The section Owner and review is on the article.

  4. Set the owner and dates

Choose an Owner. Enter Review every (days) for a repeating review, or leave it empty and set a single Next review. A cycle with no date falls due one cycle from today. Set Expires if the article stops being true on a known day. Choose Save.

  5. Confirm a review

When you have checked the article, choose Mark as reviewed. With a cycle, the next date moves on by one cycle. With a single date, the date clears. The article shows when it was last reviewed.

  6. Let it expire

After the Expires date neither the AI nor the help centre uses the article. It stays on this page, marked Expired. To use it again, set a later date. To take an article down today, archive it instead: an expiry must be in the future.

Good to know

  • A date means the end of that day.
  • Review dates and owners change nothing for readers. Only an expiry or archiving takes an article out of service.
  • The owner must be an active user of your account.
